Starting from May 25, 2018, Regulation 2016/679 / EU on the protection of individuals with the processing of personal data and their free movement will come into force, a regulation that will be applied by all EU Member States.

Romtor Real Estate S.R.L. aligns with the provisions of Regulation 2016/679 / EU and informs you by "Terms and Conditions" of your rights regarding the processing of personal data.

The site www.romtor.ro belongs to the trading company ROMTOR SRL, located in Bucharest, Lacul Tei Blvd., Nr. 71, sector 2, Bucharest, registered at the Trade Register Office under the number J23 / 1167/2015, CUI RO 14665373.  Personal data protection is important to us. ROMTOR Privacy Policy (Policy) outlines how we manage our personal data. The policy applies to all departments within the ROMTOR Group.

 

ROMTOR respects the confidentiality of personal data and privacy and undertakes to comply with the Personal Data Protection Act. The regulation is designed to protect the privacy and confidentiality of individuals by regulating the way personal data is handled. Read this policy to know and understand the purposes for which we collect, use and disclose your personal data.

ROMTOR's affiliated corporations (each, "ROMTOR", "Company", "We", "Us" or "Us") recognize the importance of protecting personal data.

"Data collection" means that the company collects personal data only for what is necessary in the business or activities of our organization and which will properly destroy personal data when there is no commercial activity or legal purpose. We do not collect random or unusual personal data.

"Data Protection" means that we do not disclose your personal data unless a prior consent has been obtained from you and we have administrative, physical, and IT security measures to protect your personal data.

This does not affect any right that ROMTOR may have in connection with the collection, use or disclosure of your personal data.

1. Your personal data

1.1 "Personal Data" refers to any data or information about you from which you can be identified either (a) from these data; or (b) from those data and other information that we have or may have access to. Examples of such personal data you can provide include (depending on the nature of interaction with us):

(i) Your name and surname, personal ID, serial number and your ID card, passport number or other identification number, telephone number (s), postal address, e-mail address and any other information relating to which you have provided us in any form;

(ii) information about your use of our sites and services, including cookies, IP addresses;

(iii) employment history, level of education and income levels; and

(iv) Your payment information, such as your bank or credit card information and your credit history.

 

2. Collection of personal data

2.1 In general, ROMTOR collects your personal data in the following ways:

(i) when you submit requests for any of our services;

(ii) when you register or use any of our services on websites owned or operated by us;

(iii) when interacting with customer service officers, including during face-to-face or telephone meetings;

(iv) when you use or our services;

(v) when you submit your data on our own initiative in order to bid on the properties in our portfolio;

(vi) when requesting to contact you;

(vii) when you respond to our request for additional personal data;

(viii) when you request to be included in an email or other mailing list;

(ix) when you respond to our promotions and other initiatives;

(x) when you respond to our market studies;

(xi) when applying for employment;

(xii) when we receive referrals from business partners and third parties, for example, if you have been sent by them;

(xiii) when you submit your personal data for any other reason; and

2.2 If you provide us with personal data of a third party (for example, information of your dependents, spouse, children and / or parents), you agree and warrant that the consent of that third party for the collection, use and disclosure personal data for the purposes mentioned above.

3. How do we use this personal data and to whom can we disclose it?

3.1 Our business is to understand and meet your needs and to provide the services you need. To do this, we need to collect a series of personal data about you.

3.2 In general, ROMTOR collects, uses and discloses your personal data for the following purposes:

(a) provide you with the services that have been requested;

(b) help us manage and improve our products and services, including by analyzing customer needs and identifying potential customer needs;

(c) communicate with you and answer your questions, requests and complaints;

(d) Provide permanent information about our services that may be of interest to you;

(e) manage disputes and lead and facilitate investigations and proceedings;

(f) protect and enforce our contractual and legal rights and obligations;

(g) prevent, detect and investigate offenses, including fraud and money laundering, and analyze and manage other commercial risks;

(h) manage ROMTOR's infrastructure and business operations and comply with internal policies and procedures;

(i) facilitating business assets (which may extend to any merger, acquisition or sale of assets) involving ROMTOR; and

(j) comply with any applicable rules, laws and regulations, practice codes or guidelines or assist in law enforcement and investigations by competent authorities.

3.3 In addition, ROMTOR may collect, use and disclose your personal data for the following purposes, depending on the nature of our relationship with you:

(a) provide you with the services for which you have signed up;

(i) Communicate with you about changes and developments in ROMTOR's policies, terms and conditions and other administrative information, including for the purpose of serving you in connection with the products and services provided;

(ii) settling complaints and handling claims;

(iii) conduct market research for statistical, profiling and statistical analysis to improve the services provided; and

(iiii) process your personal data for any of the above purposes.

(b) If you are a tenant or tenant:

(i) carry out appropriate good practice checks;

(ii) prepare the rental and / or license documentation and any other documents that may be required;

(iii) to administer the lease and / or the license;

(iv) making financial transactions, such as rental payments;

(v) communicate with you changes and developments with ROMTOR's policies, terms and conditions and other administrative information; and

(vi) any other purpose related to any of the foregoing.

(c) If you want to buy property from us or have indicated an interest in purchasing properties from us:

(i) carry out due diligence checks;

(ii) prepare the sales documentation and any other documents that may be required;

(iii) conduct sales management, including handover of ownership and participation in defect rectification;

(iv) carry out financial transactions, such as prepayments for sale;

(v) communicate with you changes and developments with ROMTOR's policies, terms and conditions and other administrative information;

(vi) to comply with any relevant legal or regulatory obligations, including maintaining the role of property development; and

(vii) any other purpose related to any of the above.

(d) If you are resident in one of our service apartments:

(i) carry out checks in accordance with good practice;

(ii) prepare the rental documentation and any other documents that may be required;

(iii) administer the lease;

(iv) making financial transactions, such as payments for the period of stay;

(v) communicate with you the changes and developments within the policies, terms and conditions of ROMTOR and other administrative information;

(vi) any other purpose with respect to any of the foregoing.

(e) If you use our storage facilities:

(i) carry out checks in accordance with good practice;

(ii) process your rental application for storage facilities;

(iii) prepare the deposit documentation and any other documents that may be required

(iv) to administer the lease;

(v) to carry out financial transactions, such as payments for the rental of storage facilities;

(vi) communicating with you the changes and development of ROMTOR policies, terms and conditions and other administrative information; and

(vii) any other purpose with respect to any of the foregoing.

(f) if you are a seller, a potential seller or an entrepreneur:

(i) evaluate your proposal and conduct background checks on you;

(ii) communicate with your seconded personnel, after assigning the contract, who are in our property to perform work or services and for any emergency and / or security issues; and

(iii) any other purpose with respect to any of the foregoing.

(g) If you apply for a job application:

(i) process your application, including pre-recruitment checks;

(ii) provide or obtain references for substantive verification;

(iii) Collect information about your application for the position requested;

(iv) organize training and development programs for staff;

(v) evaluate your performance;

(vi) managing benefits and processing salary;

(vii) provide you with the tools to help you or, if necessary, to do your work;

(viii) Communicate with you in accordance with ROMTOR's requirements to comply with its policies and processes, including for the purpose of business continuity; and

(ix) any other purposes related to the above.

3.4 When you apply or own a co-branding product that is jointly offered by ROMTOR and its co-brand partner, ROMTOR may collect, use and disclose your personal data in order to share your personal data with partners the co-brand to offer, market and promote any products, services, offers or events your co-brand partner thinks might be of interest to you.

3.5 If you are an existing employee, please also refer to the employee's personal data protection policy within the company's human resources service.

3.6 If you have given us some consent, ROMTOR may collect, use and disclose your personal data for the following purposes:

(a) Provide services and extend the benefits to you, including promotions, loyalty and reward programs, and sending real estate updates, news bulletins, and other information about our products, services, offers or promotions that can interest;

(b) matching your personal data with other data collected for other purposes and other sources (including third parties) in connection with the provision or provision of products and services by either ROMTOR or third parties;

(c) conduct market research to understand and determine customer locations, preferences, and demographics to review, develop and improve our products and services as well as develop special promotions, promotional and / or marketing programs .

If you have subscribed to a marketing activity, we keep your data until you ask us to delete it. In this regard, we will inform you that the data stored in our databases for direct marketing communications is erased from the records of these databases 10 years after your last interaction with you.

If the cookies are stored on the computer, we keep them as long as it is necessary for them to achieve their goals and for a period defined in accordance with the guidelines and regulations in force.
